This policy outlines how we retain, secure and destroy information in accordance with the Privacy Act 1988 (Cth), Australian Privacy Principles and other applicable legislation.
Information covered
This policy applies to all personal information collected by Phillip Daidone Realty, including information relating to:
- Vendors
- Purchasers
- Landlords
- Tenants
- Prospective clients
- Employees
- Contractors; and
- Business partners
Retention
Personal information will only be retained for as long as reasonably necessary to:
- Provide our services
- Comply with legal obligations
- Resolve disputes
- Meet taxation and accounting requirements
- Comply with anti-money laundering legislation
- Comply with NSW property legislation; or
- Enforce contractual rights
Where legislation requires minimum retention periods, Phillip Daidone Realty will retain records for at least those periods.
Storage
Information may be stored:
- Electronically
- Within secure cloud-based systems
- On secure servers
- Within approved property management software; and
- In locked physical storage
Access is restricted to authorised personnel.
Security
Reasonable steps are taken to protect information against:
- Unauthorised access

- Interference
- Loss
- Modification; and
- Disclosure
These measures include password protection, access controls, encryption where appropriate and secure document storage.
Destruction
When personal information is no longer required and there is no legal obligation to retain it, Phillip Daidone Realty will securely destroy or permanently de-identify the information.
Secure destruction methods may include:
- Cross-cut shredding of paper records
- Secure deletion of electronic files
- Certified destruction by approved destruction providers; or
- Permanent de-identification
Requests for deletion
Individuals may request deletion of personal information where permitted by law.
Phillip Daidone Realty may decline such requests where legislation requires us to retain records or where retention is otherwise legally necessary.
Review
The policy will be reviewed periodically to ensure ongoing compliance with Australian privacy legislation and industry best practice.
